Welcome to Airsoft Companion. Your privacy is important to us. This privacy policy aims to inform you about how we collect, use, share and protect your personal data when you use our website and services.

1. The data we collect

We collect different categories of data to provide and improve our services to you:

Data you provide directly to us

  • Account information: When registering, we collect your surname, first name, telephone number (optional), email address and date of birth.
  • Profile information: You can choose to add information to your public profile, such as a nickname, biography, profile photo, banner, your airsoft equipment and your location (city/country).
  • IDENTITY VERIFICATION: If you choose to have your account verified, we collect a copy of your ID. These documents are used for verification purposes only and are deleted after processing.
  • Communications: The content of your messages sent to other users via our messaging system, as well as the reports you submit.

Data we collect automatically

When you use our site, we automatically collect certain technical information, such as your IP address and information on your browser, mainly for security and operating reasons.

Important: All our statistics and audience measurement tools are developed internally. We do not use third-party tracking or advertising services such as Google Analytics, Google Ads, Facebook Pixel or any other similar tool. This deliberate choice allows us to keep a Total control over your data and to avoid any commercial exploitation of these by third parties. Your browsing data is never shared with advertising authorities.

Data generated by your business

  • Moderation data: Warnings you may receive from our moderation team.
  • Reputation data: Ratings and reviews you give or receive from other users.

2. Legal basis for processing (GDPR)

We process your personal data on the following legal bases:

  • Contract performance: Processing is necessary for the performance of the contract to which you are a party (account creation, participation in the parties, courier).
  • Legitimate interests: We process certain data for our legitimate interests (platform security, fraud prevention, service improvement), provided these interests do not prevail over your rights.
  • Consent: For certain treatments such as sending marketing newsletters, we rely on your explicit consent that you can withdraw at any time.
  • Legal obligation: Certain treatments may be required to comply with our legal obligations.

3. How we use your data

Your personal data is used for the following purposes:

  • Provide and manage our services: Create your account, display your profile, allow you to use messaging and register for parties.
  • Ensure platform security: Moderate content, handle reports, manage warnings and verify user identity to prevent fraud.
  • Improve and personalize your experience: Adapt content, develop new features and understand how you use the service.
  • Communicate with you: Send you important notifications (e.g. registration confirmations, message notifications), and respond to your requests via our support. We will not send you marketing emails without your explicit consent.

4. With whom we share your data

We never sell your personal data. We only share it with the following third parties:

  • Other site users: The information in your profile that you make public (pseudonym, avatar, biography, etc.) is visible to other users.
  • Party organizers: When you sign up for a party, we share the necessary information (Name, First name, Pseudonyme, e-mail address, telephone number) with the event organizer.
  • Our service providers: We use the services of Hostinger for hosting our infrastructure. Hostinger is contractually bound to protect your data.
  • Brevo (Sendinblue): We share your e-mail and your country with Brevo, our e-mail service provider (SMTP). Brevo allows us to manage the sending of our transactional communications (registration confirmations, party notifications, etc.) and, with your consent, our newsletters. Brevo is ISO 27001 certified and complies with the GDPR. For more information on their privacy policy: www.brevo.com/legal/privacypolicy (new window).
  • National Airsoft Federations Partners: We share some aggregated and anonymised statistics with the official national airsoft federations with which we have partnered, for the analysis and development of airsoft activities. These data do not allow users to be identified individually.
  • Legal authorities: If we are required to do so by law or as part of legal proceedings.

5. International data transfers

Your personal data are mainly processed within the European Economic Area (EEA). However, some of our subcontractors may be located outside the EEA:

  • Stripe (United States): For the processing of payments. Stripe is certified under the EU-US Data Privacy Framework and complies with the standard contract terms approved by the European Commission.

For any transfer to third countries, we ensure that appropriate safeguards are in place (standard contractual clauses, adequacy decisions, or other mechanisms in line with the GDPR).

6. Data retention period

We keep your personal data for as long as your account is active. If you delete your account, most of your data will be permanently deleted. Some data may be kept in anonymized form for statistical purposes, or if we have a legal obligation to keep it for longer. Identity verification documents are deleted as soon as the verification procedure has been completed.

7. Your rights to your data

In accordance with the RGPD, you have several rights to your personal data:

  • Right of access and rectification (you can modify most of your information directly from your profile).
  • Right to erasure ("right to be forgotten").
