General conditions of sale
Last update:
1. Purpose and Scope
The purpose of these General Terms and Conditions (GTC) is to define the conditions under which paid services may be offered on the Airsoft Companion platform.
2. Payment System and Service Fees
Airsoft Companion uses Stripe as a secure payment system to process financial transactions related to airsoft game registrations.
2.1 Fee structure
Airsoft Companion applies a service charge to each transaction, calculated according to the following scale:
- For amounts under €20: €1 fixed fee per transaction
- For amounts of €20 or more: 5% of the total transaction amount
Airsoft Companion can grant some organizers a reduced fee: €0.80 fixed fee under €20, and 4% of the amount from €20.
These fees cover :
- VAT applicable only on the commission charged by Airsoft Companion
- Stripe transaction fees (detailed below)
- Platform maintenance and security costs
2.1.1 VAT and Tax Obligations of Professional Organizers
Important: The VAT collected by Airsoft Companion applies exclusively to the service commission charged by the platform. Airsoft Companion does not collect VAT on the amounts donated to the organizers.
Organizers in the form of companies, associations or other professional structures undertake to:
- Report all revenues collected through the Airsoft Companion platform to the competent tax authorities of their country of residence
- Collect and remit the applicable VAT on the amounts they collect, in accordance with their country's tax legislation
- Keep proof of payment and accounting documents for the required legal period
- Comply with all tax and social obligations related to their activities
Airsoft Companion disclaims any liability in the event of an organizer's failure to comply with its tax obligations. Each organizer is solely responsible for its tax and accounting compliance.
2.1.2 Fee Detail Stripe
Stripe transaction fees vary according to the type of card used and the currency. The applicable fees are as follows:
| Type of payment | Costs |
|---|---|
| Standard European cards | 1.5% + € 0.25 |
| Premium European cards (business, corporate) | 1.9% + € 0.25 |
| Maps of the United Kingdom | 2.5% + € 0.25 |
| International cards (excluding EEA/UK) | 3.25% + € 0.25 |
| Currency conversion (if applicable) | +2% on converted amount |
Note: These fees are likely to change according to Stripe's tariff schedules. The actual fees applied in a transaction depend on the card used by the payer and its geographical origin.
2.2 Connection of the Stripe account (optional)
Connection of the Stripe account to the Airsoft Companion platform is not mandatory for the organizers. However, this link is essential for parties' registration payments to pass through the platform. Without connection to the Stripe account, it is impossible to pass the payments through the platform, and the organiser and participants cannot benefit from the coverage and benefits provided by these Terms and Conditions, including:
- Securing financial transactions via Stripe
- Management of refunds in the event of cancellation in accordance with Article 4 of these Terms and Conditions
- Traceability of payments and the issuance of confirmations of payment
- The protection of participants and organizers offered by the platform's intermediation
In the absence of a link to the Stripe account, financial transactions between organizers and participants will have to take place outside the platform, without the intermediation or guarantees of Airsoft Companion. Airsoft Companion then accepts no responsibility for the conduct, security and reimbursement of these transactions. More generally, Airsoft Companion cannot be held responsible for any problems encountered during payments and registrations outside the platform, such as payment or non-payment disputes, fraud, difficulties in repayment in the event of cancellation, or shortcomings in confirmation and traceability. These operations are the sole responsibility of the organiser and the participant.
2.3 Transactions between Organizers and Participants
Party organizers may charge a fee for the events they create. The amount shown on registration is the total price including service charges. The organizer will receive the party fee less the above-mentioned service charge.
2.4 Billing
A payment confirmation is sent by email after each successful transaction. Organizers have access to a summary of their transactions via their personal space. For any detailed invoice requests, please contact us via our contact page.
3. Right of withdrawal
3.1 European Union
In accordance with Article 16(l) of Directive 2011/83/EU on consumer rights, transposed into Estonian law by the Võlaõigusseadus (Liabilities Act), the right of withdrawal may not be exercised in respect of contracts for the provision of leisure services to be provided on a specified date. Registrations to parts of airsoft, which constitute fixed-date events, are therefore excluded from the right of withdrawal of 14 days.
3.2 United Kingdom
For British consumers, similar provisions apply under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. The exception for time-limited leisure services also applies to the United Kingdom.
3.3 Other Jurisdictions
Consumers in other jurisdictions are invited to consult the legislation applicable in their country concerning the right of withdrawal. In all cases, the refund policy described in Article 4 shall apply.
However, a flexible refund policy is provided for in Section 4 of these Terms and Conditions to allow participants to cancel their registration under certain conditions.
4. Refund policy
4.1 Cancellation by Player
In the event of the player canceling a registration to a paid party, the following conditions apply:
- Cancellation more than 72 hours before the start of the game: The organiser undertakes to reimburse the player in full.
- Cancellation between 48 and 72 hours before the start of the game: The organiser undertakes to reimburse at least 50% of the registration price.
- Cancellation less than 48 hours before the start of the game: The player agrees to waive any refund.
This schedule does not apply to the registered player before a major modification of the game by the organizer: it is then refunded in full, regardless of the time limit (see section 4.4). Refunds are calculated on the amount actually paid by the player.
4.2 Method of reimbursement
Refunds shall be made by the same means of payment as used when registering, unless otherwise agreed between the participant and the organiser. The repayment period is 14 working days maximum from the confirmation of cancellation.
4.3 Cancellation of the party by the organizer
In the event of cancellation of the party by the organiser, the organiser undertakes to reimburse in full all participants who have paid their registration, regardless of the time period before the scheduled date of the event. The refund must be made within 14 working days.
For parties paid via the platform, these refunds are triggered automatically when cancelling. If the reimbursement of a participant fails, the party remains active and the participant remains registered; the organizer can restart the cancellation without risk of double refund. The party is cancelled only once all participants are reimbursed.
4.4 Amendment of the party by the organizer
An organizer may change a part until it has begun and has been cancelled. When players are already registered, some changes are framed to protect their commitment:
- dates may not be staggered by more than one calendar day in relation to the date of origin of the party;
- the price of a ticket can no longer be changed as soon as it has at least one registrant, and the number of seats cannot fall below the number of registrants;
- a ticket can only be deleted if it has never had a participant;
- the registration mode (via the platform or external link) cannot be changed.
Major change. Any change in the date or schedule, location, or rules of the party (regulation, minimum age, power limits, protection requirements, grenades, fumigants or pyrotechnics) as well as the withdrawal of a proposed service on site shall be considered to be major. Registered players are informed by notification.
Right to full reimbursement. Any player registered before a major change may unsubscribe and is reimbursed 100% of the amount paid regardless of the time remaining before the game. A player who enrols after the modification accepts the terms and conditions and is subject to the Schedule of Section 4.1.
Minor changes (description, photos, etc.) do not give rise to any specific refund rights.
4.5 Complaint procedure
Any claim for reimbursement must be made within 30 days of the date of the event or cancellation. Complaints can be submitted via our contact page or directly to the relevant organizer.
In the event of a dispute, we encourage the parties to seek an amicable solution as a matter of priority. The parties may request the intervention of Airsoft Companion if they deem it necessary.
In case of non-compliance with the reimbursement policy by the organiser, legal proceedings may be instituted, and the organiser concerned will be permanently banned from the platform.
5. Major Force
None of the parties may be held liable for failure to fulfil its obligations if this failure results from a case of force majeure, i.e. an unpredictable, irresistible and external event.
In the event of force majeure preventing the holding of a part (extreme weather conditions, government measures, natural disasters, etc.), the organiser must inform the participants as soon as possible and propose either a postponement of the event or a full refund.
6. Liability of Airsoft Companion
Airsoft Companion acts asTechnical intermediate facilitating financial transactions between organizers and participants via the Stripe payment platform. As such:
- Airsoft Companion has not left the contract concluded between the organiser and the participant.
- Airsoft Companion does not guarantee performance of services by the organisers.
- The funds collected pass through Stripe and are returned to the organizers in accordance with the conditions of the platform.
Therefore, our responsibility cannot be engaged to:
- The quality or conduct of organized events.
- Contract disputes between organizers and participants.
- Claims for reimbursement in the event of dissatisfaction with the service provided by the organizer.
We encourage users to exercise due diligence and check the specific conditions of each organizer before making any financial commitment.
